Intern Onboarding
Growth + QA onboarding for the NovaBuildBot team — understand the product, learn GSC/GA4, grow NovaBuildBot's visibility, run social, and test the Hub.
Welcome! 👋 This is your guide to two jobs at NovaBuildBot:
- Grow NovaBuildBot's visibility — get more people to find us on Google and social, and grow our Instagram + Facebook.
- Test NovaBuildBot end to end — go through the whole experience like a real user and report anything broken or confusing.
You don't need to be technical. If you can use Instagram and read a chart, you can do this well. Read this page top to bottom once, then keep it open as a reference.
1. What is NovaBuildBot?
NovaBuildBot is an "AI Growth Manager" for small businesses. Instead of hiring a whole marketing team, one AI does it all — builds and updates their website, improves their Google ranking (SEO), posts to social media, manages their Google Business profile, runs an online store, and answers customer chats — 24/7.
The four products: NovaBuild (website), NovaStorefront (online store), NovaHub (the owner's dashboard), and NovaChat (the AI chat that talks to customers). We especially help medical practices — clinics, dentists, doctors.
Our promise: "We build practice brands — we don't just sell you marketing tools."
That's enough to market it accurately. The best way to really get it is to click around hub.novabuildbot.com yourself (ask for a login).
2. Learn the product (get hands-on)
The fastest way to understand NovaBuildBot is to be a customer for an hour. In your first days:
- Sign up as a test business. Message @TheNovaBuildBot on Telegram and go through onboarding — watch it actually build a website. (This is also your first end-to-end test.)
- Explore your NovaHub at hub.novabuildbot.com — click every page and see what each does with your test business's data.
- Watch the AI agents work. Open the Inbox — the agents leave suggestions there (SEO fixes, social posts, website improvements). That's the product's "brain" in action; approve or reject a few.
- Try each product: NovaBuild (the website it made you) · NovaChat (the chat widget that answers customers) · NovaStorefront (add a product in the Store) · NovaHub (the dashboard tying it together).
- Read the customer wiki (left menu) — especially Getting Started, Managing Your Site, AI Agents, and Connecting Instagram & Facebook.
3. Understand the tools
We measure visibility with three tools. You can see all of them for NovaBuildBot inside the Hub. Click a tab:
Google Search Console — “How Google sees us”
Shows what people type into Google and whether we show up. In the Hub: the SEO page.
we appeared
they visited
clicks ÷ impr.
lower = better
Example — top queries
| Query | Impr. | Clicks | Pos. |
|---|---|---|---|
| ai marketing for clinics | 3,120 | 96 | 8.1 |
| ai growth manager | 2,010 | 71 | 6.4 |
| website for dental practice | 1,540 | 28 | 12.7 |
Google Analytics (GA4) — “What people do once they arrive”
Traffic and behavior after someone lands on our site. In the Hub: the Analytics page.
people
visits
engagement
depth
Example — where visitors came from
| Source | Users | Share |
|---|---|---|
| Google (search) | 520 | 42% |
| Instagram / Facebook | 410 | 33% |
| Direct | 310 | 25% |
AI Visibility (AEO) — “Do AI assistants recommend us?”
Whether ChatGPT / Perplexity / Gemini mention NovaBuildBot when someone asks about AI marketing tools. In the Hub: the AI Visibility page.
Example — "best AI marketing tool for clinics?"
| Engine | Mentioned NovaBuildBot? |
|---|---|
| ChatGPT | ✅ Yes — ranked #2 |
| Perplexity | ✅ Yes — with a link |
| Gemini | ❌ Not yet |
4. Grow NovaBuildBot's visibility
NovaBuildBot's own site (novabuildbot.com) is already connected to GA4, Search Console, and the AI-visibility tracker — so you can measure everything in the Hub. Here are the levers you work:
| Lever | What you do | Measure it in |
|---|---|---|
| Social (Instagram / Facebook) — your main job | Consistent, on-brand posts that send people to novabuildbot.com | GA4 (traffic from social) + follower & engagement growth |
| SEO / content | Read GSC top queries → suggest blog posts + page improvements on topics people actually search | GSC (impressions, clicks, position) |
| AI visibility | Make sure our pages clearly answer "what is an AI growth manager / AI marketing for clinics" | AI Visibility page |
| Off-page basics | Get NovaBuildBot listed in relevant directories; keep our name + link consistent everywhere | GSC (new referring traffic) |
| Google Business Profile | Keep it complete and posting | GBP page |
Weekly rhythm
- Monday — check the scoreboard. Write down clicks, impressions, average position (GSC) and users + top sources (GA4) in a "Scoreboard" sheet so you can watch them move week to week.
- Tue–Thu — create. Draft + schedule social; pull one blog/SEO idea from a real GSC query.
- Friday — publish (after review) and note what changed.
5. Social media playbook (Instagram + Facebook)
You'll run NovaBuildBot's own IG + FB directly (via Meta Business Suite — business.facebook.com — where you can see both accounts and schedule posts).
Brand voice — 4 rules
- Friendly, smart, professional. A helpful expert, not a hard-seller.
- Respectful and value-first. We take pride in providing value — never fear, guilt, or "you're failing without us."
- Don't overpromise. Only claim what the product really does. Unsure? Ask before posting.
- Never name the tech behind the scenes (hosting/cloud providers) — keep it about the customer's results.
Content pillars (rotate so it's not repetitive)
- Show the products — quick demos of a website built, a store, the AI chat answering a customer.
- The "AI Growth Manager" idea — one AI doing the work of a whole team, 24/7.
- Medical spotlight — how a clinic/dentist gets found online and fills appointments.
- Small-business tips — genuinely useful advice (even without a pitch) builds trust.
- Behind the scenes / social proof — results, before-and-afters, testimonials.
Cadence
3–4 posts/week on Instagram (mix of Reels + carousels + single images), cross-post the best to Facebook, 1–2 Stories on posting days, and reply to comments/DMs within a day.
Do / Don't
- ✅ Draft in a shared doc first · ✅ every caption has a clear takeaway + soft CTA · ✅ ask when unsure.
- ❌ Never post without review (early on) · ❌ no health-outcome claims · ❌ don't argue in comments — escalate anything negative.
6. Testing NovaBuildBot (end to end)
You're a fresh pair of eyes — exactly what good testing needs. Test the whole experience, not just the Hub: from signing up in Telegram, to the website Nova builds, to connecting social, to the NovaHub dashboard. Use a test business so you can try everything freely without touching real customers.
For every screen or step, ask 4 questions
- Does it work / load (no error, no blank screen)?
- Does everything you tap or click actually do something?
- Does it look right on your phone, not just a computer?
- Is any text or button confusing?
The full journey to test
- Sign up — message the bot on Telegram, go through onboarding, and confirm a website gets built.
- The website — visit the live site Nova made; check the pages, links, and mobile view.
- The Hub (hub.novabuildbot.com) — walk every page in the left menu: Today · Inbox · SEO · Analytics · AI Visibility · Blog · Domain · Store · Appointments · Customers · Conversations · Campaigns · Availability · Agents · Team · Settings (every tab).
- Connect things — link Instagram/Facebook, connect WhatsApp, add a Store product, change a setting and confirm it saved.
- NovaChat — try the customer chat widget and the booking flow.
- Do it all on mobile too.
Along the way, the AI agents leave suggestions in the Inbox — for example:
SEO agent · monthly review
──────────────────────────
TL;DR: Your site is currently invisible on Google — 0 impressions in 28 days.
PROPOSAL [HIGH]: Add a meta description + FAQ to the homepage so it can rank.
[ ✅ Approve ] [ ❌ Reject ]
Reviewing and approving those is part of the flow — try approving one and see what happens.
Bug report — keep it simple
For each bug, note 3 things and attach a screenshot:
- What you were doing
- What went wrong (vs. what you expected)
- Phone or computer?
Drop them in the shared "Bug reports" sheet.
7. Tools you'll use
- NovaHub — hub.novabuildbot.com — the dashboard for SEO, Analytics, AI Visibility, Store, and everything Nova does.
- Telegram — where you talk to the bot and run signup/testing.
- Meta Business Suite — business.facebook.com — manage + schedule NovaBuildBot's Instagram & Facebook.
- Google Search Console & Google Analytics — the data behind the SEO/Analytics pages (usually viewed through the Hub).
- Canva — for post graphics.
